Booking Terms Policy

These Booking Terms outline how we accept, confirm and manage event bookings for catering, cultural experiences, and Kitts Presents events. By paying a deposit or confirming a quote, you agree to the terms below.

1. Making an Enquiry

You can enquire via our website (thisiskitts.com), email, WhatsApp or social channels.
We aim to respond to all enquiries within 24–48 hours.

2. Securing Your Date

A date is secured once the following steps are completed:

  1. You receive a written quote

  2. You confirm acceptance in writing

  3. You pay the 25% non-refundable deposit

Until the deposit is received, the date remains open to other bookings.

3. Deposits

A 25% deposit is required for all bookings.
The deposit is non-refundable and covers:

  • Initial planning

  • Holding your date

  • Admin & scheduling

  • Supplier allocations

  • Ingredient sourcing

 

Deposits may be transferred to a new date once (subject to availability).

4. Final Balance

The remaining balance is due 10 days before the event unless otherwise stated in writing.

If payment is not received by the deadline:

  • Service may be paused

  • Your booking may be cancelled

  • Late payment fees may apply

 

Events booked within 10 days of the date require full payment upfront.

5. Minimum Spend

  • Minimum spend requirements may apply depending on:

  • Seasonal demand

  • Staffing needs

  • Travel distance

  • Size and style of event

 

We will confirm any minimum spend during enquiry or quotation.

6. Final Guest Numbers

Final guest numbers must be confirmed 7 days before the event.

  • Increasing numbers: subject to availability

  • Decreasing numbers: no reduction in final invoice after confirmation

 

This ensures accurate staffing, prep and ingredient planning.

7. Menu Choices

Menu selections must be finalised 7 days before the event.
We accommodate dietary requirements where possible, but all requests must be provided during the planning stage.

 

We reserve the right to make ingredient substitutions, if necessary, due to availability, seasonality, or supplier changes.

8. Changes to Booking

Changes to:

  • Menu

  • Timings

  • Guest numbers

  • Venue access

  • Event structure

 

must be requested in writing.
We will confirm whether changes are possible and if additional charges apply.

9. Travel & Delivery

Delivery and travel fees are based on distance from B23:

  • 0–5 miles: Free

  • 5–15 miles: £10–£15

  • 15–30 miles: £20–£30

  • 30+ miles: Quoted individually

 

Large events may include additional travel, staff transport, or overnight charges.

10. Venue Requirements

Clients must ensure:

  • Safe access for setup and breakdown

  • Parking or loading access

  • Adequate kitchen or prep-space where required

  • Sufficient lighting and working conditions

  • Early access if requested

 

Any delays caused by venue access may incur additional staffing charges.

11. On-the-Day Responsibilities

Clients are responsible for:

  • Ensuring all venue rules are communicated

  • Providing accurate event timings

  • Maintaining a safe environment for staff

  • Protecting any equipment left on-site

We handle:

  • Food preparation

  • Transport

  • Setup

  • Service (if included)

  • Breakdown

12. Cancellations

  • 21+ days before the event: Deposit retained

  • 20–7 days before the event: 50% of total due

  • Less than 7 days: 100% of total due

13. Force Majeure

We are not liable for cancellations caused by events outside our control including:

  • Extreme weather

  • Illness

  • Accidents

  • Venue closure

  • Public emergencies

  • Transport disruption

 

Where possible, bookings will be moved to another date.

14. Acceptance

By paying your deposit, you confirm acceptance of these booking terms.
